Accounting Office Assistant 

 

Summary: 

Ebert Enterprises is seeking a dependable, organized, and detail-oriented Accounting Office Assistant to provide administrative and accounting support across multiple company operations. The ideal candidate is comfortable working with numbers, spreadsheets, invoices, vendors, and multiple priorities while maintaining accuracy and confidentiality. 

 

Key Responsibilities: 

  • Process accounts payable for multiple entities (including collection, organization, and matching of packing slips to invoices). 
  • Track and record accounts receivable (AR) activity for multiple entities. 
  • Work with management to obtain required approvals on invoices and ensure documentation is complete. 
  • Receive and invoice products into ERP systems. 
  • Enter data into inventory system and help maintain accurate inventory records across entities. 
  • Assist with general data entry and updates in various spreadsheets and company records. 
  • Assist with general record maintenance, document organization, and filing. 
  • Assist with month-end and year-end data gathering and reporting support for all entities. 
  • Monitor equipment lists and help keep records current and accurate. 
  • Monitor office supply levels and place orders as needed. 
  • Communicate directly with vendors regarding invoices, documentation, orders, and routine questions accordingly.

  • Strong attention to detail and a commitment to accuracy. 
  • Excellent organizational skills and the ability to keep information, paperwork, and deadlines organized. 
  • Good verbal and written communication skills, including professional communication with vendors. 
  • Comfortable working with numbers, invoices, spreadsheets, and routine accounting-related information. 
  • Ability to manage multiple tasks, prioritize work, and follow through independently. 
  • Reliable, professional, and willing to ask questions when clarification is needed. 
  • Comfortable learning and using computer systems, spreadsheets, and company-specific software/ERP systems.
